 Supporting an Italian Customer Through the Complete Shipping and Documentation Process

In January 2025, XuanYi Stainless Steel completed the shipping and export documentation process for a long-term customer in Italy. The project involved two 40-foot containers, with the customer requesting original Bills of Lading instead of telex release. By coordinating payment confirmation, document preparation and shipment updates throughout the process, we helped ensure that the customer received all required documents on time for smooth customs clearance and cargo collection.

Our cooperation with the Italian customer has continued through multiple stainless steel export orders over the years. For this shipment, the customer confirmed in advance that the original Bills of Lading were required for import procedures in Italy. Since document handling directly affects customs clearance and cargo release, both sides agreed on the documentation process before the shipment was completed to avoid unnecessary delays.

As the vessel departed, our team maintained regular communication with the customer regarding the remaining balance payment, document preparation and shipping schedule. After the customer confirmed that the balance payment would be arranged through its forwarding agent, we immediately prepared the original Bills of Lading according to the agreed procedure. Throughout this stage, every update regarding payment status and documentation was communicated promptly so the customer could organize the import process in advance.

Another important part of this project was shipment tracking. Once the shipping schedule was confirmed, we informed the customer that the vessel was expected to arrive on January 22, allowing sufficient time to prepare customs clearance and inland transportation before the cargo reached the destination port. By providing timely shipping updates instead of waiting for customer inquiries, we helped reduce unnecessary communication and ensured that the import process remained well organized.

Although product quality is always important, international orders also depend on accurate documentation and reliable execution after shipment. Original Bills of Lading, payment confirmation and shipping schedules are essential parts of cross-border trade, and mistakes at this stage can delay customs clearance or increase import costs. Throughout this project, our team managed every step carefully to ensure that both commercial documents and logistics information remained accurate and consistent.

After the shipment was completed, the customer expressed satisfaction with the efficiency of the documentation process and the transparency of our communication. By keeping the customer informed throughout payment confirmation, document preparation and vessel tracking, we helped simplify the import procedure and strengthened the long-term cooperation established through previous projects.
